Convert hours into full-time equivalents
A full-time equivalent (FTE) measures staffing in units of one full-time job, so a team of part-timers can be compared with a full-time headcount, a budget, or a staffing ratio. The arithmetic is simple — total hours divided by full-time hours — but the answer depends entirely on the full-time standard, which is why this calculator asks for yours rather than assuming 40. Enter each person’s hours, or a headcount working the same hours, and it shows the total FTE, each person’s share, and the headcount alongside.
How to use the FTE Calculator
- Choose whether the hours are per week or per year.
- Enter your organization’s full-time hours for that period — 35, 37.5, and 40 a week, or 1,950 and 2,080 a year, are one tap away.
- Enter each employee’s hours (up to 8; leave the rest blank), or switch to a group and enter the headcount and hours each.
- Read the total FTE, the exact figure when it’s rounded, the total hours, and the per-employee breakdown.
The formula
FTE = total hours worked ÷ full-time hours for the same period
Each employee’s FTE = their hours ÷ full-time hours
Weekly and annual hours give the same FTE as long as both sides use the same period: 1,040 of 2,080 hours a year is the same 0.5 FTE as 20 of 40 hours a week. Mixing periods — weekly hours against an annual standard — is the most common FTE mistake.

Limitations
- FTE here is total hours ÷ the full-time hours you enter. Organizations set their own full-time standard, and programs such as the Affordable Care Act, benefits plans, or grant reports can define full time and FTE differently. This calculator doesn’t decide eligibility for any of them.
- Someone working more than full time counts as more than 1.0 FTE in the total. When that happens, the total with each person capped at 1.0 is shown alongside, for reports that use that convention.
- Up to 8 individual employees, or a group of up to 100,000 at the same hours; up to 168 hours a week or 8,784 a year per person.

FTE Calculator FAQ
- How do you calculate FTE?
- Add up the hours everyone works in a period and divide by the hours one full-time employee works in the same period. Three people working 25 hours a week against a 40-hour week is 75 ÷ 40 = 1.875 FTE, or 1.88 rounded.
- Are two 20-hour employees 1 FTE?
- Yes, against a 40-hour full-time week: 20 + 20 = 40 hours, and 40 ÷ 40 = 1.0 FTE. Against a 37.5-hour week the same two people are 40 ÷ 37.5 ≈ 1.07 FTE.
- What counts as full time?
- Whatever your organization uses — 40 hours a week (2,080 a year) is common, and 35 or 37.5 hours are too. Some programs set their own definitions; for example, the Affordable Care Act uses 30 hours a week for its employer rules. This calculator uses the standard you enter and doesn’t decide which applies.
- What is the difference between FTE and headcount?
- Headcount counts people; FTE counts hours in full-time units. Ten people working 20 hours a week are a headcount of 10 but 5 FTE against a 40-hour week. The calculator shows both.
- Can someone count as more than 1 FTE?
- Mathematically yes — 50 hours against a 40-hour week is 1.25. Some reports cap each person at 1.0, so when anyone is over the standard the calculator shows the capped total as well.
- Are the hours and dates I enter sent anywhere?
- No. The calculation runs in your browser as you type. Your hours, dates, and results are not sent to Looty Tools or stored, and the calculator area is masked from session-recording analytics. Refreshing the page clears it.
