Measure the overlap at a shift change
Many workplaces overlap shifts on purpose so the outgoing person can brief the incoming one — a nursing report, a control-room handover, a kitchen changeover. The overlap is easy to see on a schedule and easy to get wrong in arithmetic when a shift crosses midnight. This calculator puts both shifts on one timeline, reads an end time earlier than the start as the next day, and shows the minutes both people are on the clock, or the gap if there is none. How to use the Shift Handoff Overlap Hours Calculator
- Enter the start and end times of the shift handing off (Shift A) and the shift taking over (Shift B). An end time earlier than its start ends the next day.
- Leave “Which day each shift starts” on “Work it out from the times”, choose the day yourself, or enter both start dates.
- Optionally enter how many times a week this handoff happens.
- Read the overlap, the window both shifts share, each shift’s length, and the weekly and yearly totals. Copy Result copies the timeline table.
The formula
Overlap = earlier end time − later start time (0 if the earlier end comes first)
An end time at or before the start time ends the next day
Yearly overlap = overlap × handoffs a week × 52
In the second example the day shift is read as starting the next morning, because that is when it meets the night shift. The fourth pair is back to back — one ends as the other starts — so there is no overlap. In the last, Shift B sits entirely inside Shift A, so all four of its hours overlap.

Limitations
- Two shifts at a time, each shorter than 24 hours. For a handoff chain across three or more shifts, compare each pair.
- Times are counted as clock time. On a night the clocks change for daylight saving time, an overnight overlap can really be an hour longer or shorter.
- Working out the day from the times tries Shift B on the same day, the next day, and the day before. For shifts further apart, enter the dates.
- The yearly figure is the weekly overlap × 52. It doesn’t say whether overlap time is paid; that depends on your employer and timekeeping rules.

- How do you calculate the overlap between two shifts?
- Take the later of the two start times and the earlier of the two end times. If the earlier end comes after the later start, the difference is the overlap. A 7:00 AM–3:30 PM shift and a 3:00 PM–11:30 PM shift overlap from 3:00 to 3:30 PM: 30 minutes.
- How does it handle a night shift that ends the next morning?
- An end time earlier than the start time is read as the next day. A 7:00 PM–7:30 AM night shift and a 7:00 AM–7:00 PM day shift overlap from 7:00 to 7:30 AM the next morning.
- What if the two shifts are back to back?
- When one shift ends exactly when the other starts, there is no overlap — the result is 0 minutes, labelled back to back. If there is time between them, the gap is shown instead.
- Do I need to enter dates?
- Usually not. With times alone, the calculator tries Shift B on the same day, the next day, and the day before, and uses the one that overlaps most — and says which. Enter dates, or choose the day, when the shifts are further apart.
- How much overlap does a handoff add up to over a year?
- Multiply the overlap by the handoffs a week and by 52. Two 30-minute handoffs a day, every day, is 14 a week: 7 hours a week, or 364 hours a year.
- Are the hours and dates I enter sent anywhere?
