Putting a cost on it
Each overlap minute is paid time for the person arriving early or leaving late. At $32 an hour, 7 hours a week of overlap is $224 a week, or 364 × $32 = $11,648 a year for one post. Add any shift differential or overtime rate that applies to those minutes.
What the overlap buys
- A spoken handover of what is in progress, what changed, and what to watch.
- Time for the incoming worker to check equipment, stock, or patients before taking over.
- Cover so the outgoing worker isn’t rushing out mid-task.

- Use a fixed structure for the handover so it takes the same time every shift.
- Stagger start times so only the roles that need a handover overlap.
- Move routine information to written notes and keep the spoken handover for exceptions.
Overlap and overtime
Overlap is easy to forget when checking weekly hours. Three 12-hour shifts with a 30-minute overlap each are 37.5 hours, but four of them are 50 hours — 10 over a 40-hour week. Make sure the overlap is in the hours you schedule, not added on afterwards.

- Is shift overlap time paid?
- Handoff time is work, so for hourly staff it is normally recorded and paid like any other hour on the clock.
- How many hours a year does a 15-minute handoff add?
- With two handoffs a day, every day, 15 × 14 = 210 minutes a week — 3.5 hours a week, or 182 hours a year.
- Does overlap count toward FTE and staffing hours?
- Yes. Overlap hours are hours worked, so they add to total hours and to any FTE calculated from them.
- Can overlap push someone into overtime?
- Yes, when it takes weekly hours over 40, or over a daily limit where daily overtime applies.
