Quarter-Hour Timesheet Rounding Explained
Some time-keeping systems round each clock punch, or each day’s total, to the nearest 15 minutes. That turns every time into a whole number of quarter hours — and every decimal into .00, .25, .50, or .75. This guide shows which minutes round which way, how rounding punches differs from rounding totals, and how it can add up over a week. Whether and how time is rounded is a matter of employer policy and local rules.

To the nearest quarter hour
Each quarter hour has a midpoint 7½ minutes in. With whole-minute clock times, minutes 1–7 past a quarter round down and minutes 8–14 round up.

Rounding punches or rounding the total
The two give different answers. Clocking in at 8:07 and out at 4:38 is 8 hours 31 minutes. Rounding each punch gives 8:00 and 4:45 — 8 hours 45 minutes, or 8.75. Rounding the day’s total instead gives 8 hours 30 minutes, or 8.5, because 31 minutes is only 1 minute past the half hour.
How it adds up
If punches fall at random minutes, rounding up and rounding down roughly balance over many days. If they don’t — say, clocking in 5 minutes before the hour every day — the same direction repeats: each 7:55 rounds to 8:00, and five days lose 25 minutes. That is why it’s worth comparing actual punches with rounded ones over several weeks, not one day.
Policy, not arithmetic
Whether time may be rounded, to what increment, and in which direction depends on the employer’s policy and the rules that apply where you work. The arithmetic here describes nearest-quarter rounding only; it doesn’t say whether a particular rounding practice is permitted.

- What does rounding to the nearest quarter hour mean?
- Each time is moved to the closest :00, :15, :30, or :45. Minutes 1–7 past a quarter round down, 8–14 round up.
- Does 8 minutes past round up?
- Yes, to the next quarter: 8:08 becomes 8:15 when rounding to the nearest quarter hour.
- What decimals does quarter-hour rounding produce?
- Only .00, .25, .50, and .75, because each quarter hour is exactly 0.25 hours.
- Is it better to round each punch or the daily total?
- They give different results. Rounding punches can change a day by up to 15 minutes; rounding the total changes it by at most 7½.
- Is quarter-hour rounding allowed?
- That depends on the employer’s policy and the rules where you work. This guide only explains the arithmetic.
