Deducting Breaks From a Weekly Timesheet
If you already have a week’s total from a time clock or a schedule, there’s no need to redo every day to take the breaks out: multiply the break length by the number of breaks and subtract once. This guide shows the one-step method, what to do when some days have no break or longer ones, and how to check the answer against the daily entries.

One step instead of five
A week of 42.5 clocked hours with a 30-minute lunch on each of 5 days loses 5 × 30 = 150 minutes, or 2.5 hours, leaving 40 hours. The answer is the same as subtracting 30 minutes from each day and adding the days up.
Days with no break
Count only the breaks actually taken. With 44 clocked hours over six days, where a short Saturday had no lunch, there are 5 breaks, not 6: 44 hours − 5 × 30 minutes = 41.5 hours.
Breaks of different lengths
Group the breaks by length and add the groups: three 30-minute lunches and two 45-minute lunches are 90 + 90 = 180 minutes, or 3 hours. From 45 clocked hours, that leaves 42.

Over a whole pay period
The same method works for a biweekly or semimonthly total. Ten 30-minute lunches over a two-week period come to 5 hours; from 85 clocked hours, that leaves 80.
