How to Convert Multiple Excel Sheets to One PDF

When multi-sheet conversion helps

Use multi-sheet export when recipients should see several related tables in one file—monthly tabs in calendar order, department sheets for a shared review, or a cover summary followed by detail tabs. Keeping sheets in workbook order avoids re-sorting pages after the fact.

Skip this workflow when you only need one tab, when you require Excel’s exact print layout, or when charts and images must appear in the PDF. In those cases, export from Excel or convert a single trimmed sheet instead.

Open the workbook and review visible sheets

Hidden and very-hidden worksheets do not appear in the list and cannot be included. Password-protected or encrypted workbooks are rejected. Supported formats are XLSX and XLS only—not XLSM.

1. Open Excel to PDF at /tools/excel-to-pdf.
2. Choose or drag an XLSX or XLS workbook into the tool.
3. Confirm the filename, size, and the list of visible worksheets.
4. Select every sheet you need, or leave the default where all visible sheets are selected.
5. Set Letter or A4, choose Auto / Portrait / Landscape, and decide whether to fit worksheet width to the page.
6. Select Convert to PDF to create and download one multi-sheet PDF.

Selection, workbook order, and page breaks

You can include all visible sheets or clear individual checkboxes to keep a subset. At least one visible worksheet must remain selected. The PDF follows the workbook’s sheet order for the sheets you leave checked—not the order you click them.

Each selected worksheet begins on a new PDF page. That keeps tables from running into each other when you open the download. Long worksheets continue onto additional pages after their first page; they do not restart as a new sheet mid-row.

• Workbook order is preserved among the sheets you select.
• One new PDF page starts for each selected worksheet.
• Long sheets paginate vertically within that sheet’s section.

Wide sheets, orientation, and fit-width

Wide tables often need Landscape or Auto orientation so columns remain readable. Fit-width scales a sheet’s table to the page width when enabled; long sheets still continue on later pages. Mixing a narrow cover sheet with a wide data sheet in one PDF is normal—each sheet uses the same page-size and orientation settings you choose for the conversion.

If a sheet exceeds the column, row, cell, or page caps after selection, trim the used range or deselect oversized sheets before converting. Current caps include 10 MB files, up to 20 worksheets in the workbook, 50 columns and 5,000 rows per selected sheet, 100,000 cells across selected sheets, and 100 PDF pages.

What the multi-sheet PDF is—and is not

The result is a readable tabular PDF of cell display values with a basic grid. Stored number, currency, percentage, and date formats appear when available. Formulas are not recalculated; only cached values are used when present.

The PDF is not Excel’s native print output. Themes, fills, charts, images, shapes, conditional formatting, print areas, freeze panes, and macros are not preserved or executed. Plan for a clean multi-table document, not a pixel-perfect replica of every worksheet’s print preview.

Privacy for multi-sheet workbooks

Parsing and PDF generation run in your browser. Spreadsheet contents—including every selected sheet’s cell values—are not uploaded to Looty Tools for this conversion. Usage analytics may record that the tool succeeded; they do not include sheet names or cell data.
